Operate the front desk of a law office by greeting visitors, managing multi-line phones and calendars, routing mail and legal correspondence, processing basic forms and deliveries, and providing routine clerical support using legal terminology and procedures while maintaining confidentiality.
  • • Greet clients and visitors, verify identification, and notify attorneys or staff.
  • • Answer and route multi-line calls; take detailed messages and handle basic inquiries.
  • • Schedule client meetings, depositions, and court appointments; reserve conference rooms.
  • • Receive, log, and distribute incoming mail, deliveries, and service of process.
  • • Prepare outgoing mail, faxes, and courier packages; arrange messengers as directed.
  • • Scan, photocopy, and assemble documents; create cover sheets and labels.
  • • Collect client intake information and signatures; update contact and matter records.
  • • Maintain reception logs, visitor badges, and a tidy, professional reception area.
  • • Enter and update calendar entries and contact data in case management systems.
  • • Set up conference rooms and video meetings; arrange refreshments and equipment.
  • • Route documents to attorneys for review and signature; track status and follow up.
  • • Assist clients with completing basic forms and appointment paperwork.
  • • Process payments at reception; issue receipts and route billing inquiries appropriately.
  • • Uphold confidentiality, security, and records retention policies when handling information.
