Description
Coordinate and expedite international export shipments from order release to vessel or flight departure. Book carriers, arrange pickups, and prepare accurate export documentation (commercial invoices, packing lists, certificates, bills of lading/AWBs, AES/EEI filings). Ensure regulatory compliance, calculate rates and tariffs, and communicate with customers, forwarders, brokers, and warehouses to meet deadlines and resolve issues.
- • Negotiate rates and book ocean, air, and ground transport with carriers and freight forwarders.
- • Advise customers on Incoterms, routing options, and payment terms, including letters of credit.
- • Determine mode of shipment and prepare export documents: commercial invoice, packing list, certificate of origin, SLI, AWB/OBL.
- • File AES/EEI and ensure compliance with export regulations and licensing requirements.
- • Classify products with HS codes and determine export control jurisdiction; apply licensing and tariff requirements as needed.
- • Estimate freight, surcharges, and accessorials; record costs, weights, and dimensions for billing.
- • Enter and maintain shipment data in TMS/ERP and carrier portals; audit for accuracy.
- • Schedule pickups and deliveries with warehouses, drayage, and carriers to meet cutoffs.
- • Track and trace shipments end-to-end; provide status updates and proof of export.
- • Arrange cargo insurance and initiate or support claims when losses or damage occur.
- • Reconcile warehouse counts and condition reports with packing lists; resolve discrepancies.
- • Issue shipping marks, labels, and carrier instructions to warehouses and vendors.
- • Coordinate hazmat and temperature-controlled exports; prepare required dangerous goods documentation.
- • Ensure VGM submission and container stow plans meet carrier and safety requirements.
- • Generate and distribute pre-alerts, shipping manifests, and load lists to consignees and agents.
- • Resolve delays, holds, or exceptions with carriers, customs, and brokers; escalate as needed.
- • Notify consignees and overseas agents of shipment details and estimated arrival; arrange on-carriage when required.
- • Keep organized records of export files and communications for audit readiness.
- • Review carrier invoices and create customer billing; address discrepancies with vendors.
- • Maintain rate files and SOPs; contribute to process improvements and KPIs.
- • Coordinate repairs, returns, or replacements with service depots when shipment issues arise.
- • Verify denied party screening and sanctions/embargo compliance.
