Description
Provide administrative and patient flow support in healthcare settings under the direction of clinical staff. Duties include scheduling and coordinating appointments and referrals, registering patients and maintaining records, verifying insurance and processing billing/coding information, managing calls and EHR messages, and supporting check-in and check-out to ensure efficient, compliant care.
  • • Schedule and coordinate laboratory services and ensure orders are entered; track and relay results per policy.
  • • Provide approved pre- and post-visit instructions and education materials as directed by clinicians.
  • • Prepare charts, forms, and supplies to support clinic flow and handoffs to care teams.
  • • Maintain orderly reception and exam areas and restock nonclinical supplies.
  • • Follow privacy and infection control protocols; request environmental services when needed.
  • • Schedule, reschedule, and cancel patient appointments across providers and clinics.
  • • Coordinate referrals, authorizations, and follow-up appointments with internal and external providers.
  • • Greet, check in, and verify identity and insurance for arriving patients.
  • • Arrange diagnostic tests, imaging, or admissions and confirm patient preparation instructions.
  • • Answer phones, manage call queues, take messages, and complete or route insurance and disability forms.
  • • Monitor and order front-office supplies and submit equipment service requests.
  • • Verify receipt of outside records and scan or index documents into the EHR.
  • • Set up telehealth or virtual visit connections and assist patients with access and check-in.
  • • Collect copayments, post charges, and assist with billing inquiries and statements.
  • • Obtain and update patient demographics, insurance, and nonclinical intake information.
  • • Escort patients to exam rooms and provide pre-visit paperwork or instructions as directed.
  • • Enter and update registration, consents, and visit documentation in the EHR.
  • • Process and route medication refill requests; confirm pharmacy details and relay approved prescriptions.
  • • Run appointment and workload reports to track capacity, no-shows, and recalls.
  • • Protect patient confidentiality and comply with HIPAA and organizational policies.
