Description
Perform administrative and front-desk duties in a medical practice to support patient care and office operations. Responsibilities include greeting and registering patients, scheduling and confirming appointments, maintaining electronic medical records, verifying insurance and processing billing/coding, coordinating referrals and prior authorizations, handling correspondence and prescription requests, and ensuring compliance with privacy and office policies.
  • • Greet, register, and check in patients; verify identity and collect copays.
  • • Collect patient demographics, insurance details, and intake forms; verify accuracy in the EHR.
  • • Schedule, reschedule, and confirm appointments; manage waitlists and recalls.
  • • Enter and update patient histories, medications, and allergies in the EHR as reported.
  • • Answer phones, route messages, and manage patient portal communications.
  • • Process insurance eligibility checks and benefit verification.
  • • Prepare and submit claims; apply basic CPT/ICD-10 coding per provider documentation.
  • • Post charges and payments, generate patient statements, and assist with collections per policy.
  • • Coordinate referrals, prior authorizations, and pre-certifications with payers and specialists.
  • • Route prescription refill requests to providers and communicate approved refills to pharmacies.
  • • Provide visit summaries and routine instructions to patients as directed by providers.
  • • Coordinate lab and imaging orders; prepare requisitions and track results.
  • • Arrange external appointments, imaging, and hospital admissions as ordered.
  • • Retrieve, scan, and file records; process release-of-information requests in compliance with HIPAA.
  • • Maintain accurate logs, reports, and correspondence; prepare end-of-day deposits.
  • • Stock and tidy reception and exam areas; ensure supplies and forms are available.
  • • Assist with patient flow by managing check-in status and notifying providers of room readiness.
  • • Monitor inventory and order office and medical supplies; receive and reconcile shipments.
  • • Set up and maintain office equipment; coordinate IT or vendor support.
  • • Follow office, safety, and privacy policies; escalate issues to clinical or administrative leadership.
