Description
Perform clerical and unit coordination duties under the direction of nursing staff. Responsibilities include admitting, discharging, and transferring patients; managing communications; maintaining and assembling medical records and orders in the EHR; scheduling tests and procedures; coordinating with ancillary departments; and maintaining unit supplies and logistics.
- • Greet and register patients and visitors; verify demographics, insurance, and required consents.
- • Answer telephones, call lights, and messages; route information to the appropriate staff.
- • Assemble, file, and maintain patient charts; ensure timely EHR documentation and form completion.
- • Transcribe and process provider and nursing orders per policy, flagging STAT and time-sensitive items.
- • Schedule tests, procedures, consults, and follow-up appointments; coordinate transport.
- • Coordinate admissions, discharges, and transfers; update bed assignments and census in ADT systems.
- • Print patient labels and forms for orders and specimens.
- • Receive, scan, and route lab, imaging, and consult results to the care team.
- • Prepare discharge packets and after-visit materials as directed by clinical staff.
- • Contact departments and outside facilities to arrange services, placements, or appointments.
- • Maintain an organized nurses' station; stock forms and routine supplies.
- • Monitor unit supply levels and place orders; track deliveries and backorders.
- • Operate EHR, ADT, and unit communication systems; troubleshoot minor issues and request service as needed.
- • Prepare daily assignment sheets, census reports, and logs for the unit.
- • Handle incoming and outgoing mail, faxes, and courier items; maintain document confidentiality.
- • Provide general information on unit routines and visiting policies; refer clinical questions to licensed staff.
- • Track pending orders and tests; follow up on delays and notify the care team as needed.
- • Route completed documentation for coding and billing; ensure records are complete and legible.
- • Assist with incident reporting, downtime procedures, and emergency notifications according to protocol.
- • Comply with HIPAA, safety, and infection control policies in all clerical activities.
