Description
Plan and manage complex travel for artists, talent, and production crews, securing flights, lodging, ground transport, and logistics aligned to tour and production schedules. Negotiate industry rates, coordinate visas and equipment shipments, and provide 24/7 support to resolve time-sensitive travel issues.
- • Process client payments and production billing; reconcile vendor invoices to budgets and per diems.
- • Consult with tour managers, agents, and producers to determine routing, dates, budgets, and accommodation needs.
- • Quote and optimize costs for air, hotel, ground, and charters using GDS, negotiated entertainment rates, and waivers.
- • Book and ticket flights, room blocks or buyouts, buses or sprinters, and cars; secure inventory near venues and sets.
- • Build detailed itineraries and tour routings, including call times, load-in and load-out windows, and equipment logistics.
- • Arrange visas, work permits, and ATA carnets; advise on destination requirements and security considerations.
- • Monitor trips and provide 24/7 support for delays, re-routes, and last-minute changes; resolve travel disruptions.
- • Maintain traveler profiles, passports and visas, loyalty data, and confidential preferences; manage vendor contracts and compliance.
