Donor Relations Officer

Description
Build, steward, and retain donor relationships by coordinating acknowledgments, recognition, impact reporting, and engagement events; manage donor communications and CRM data; and partner with development staff to advance philanthropic support aligned with organizational goals and donor intent.
  • • Maintain accurate CRM donor records, profiles, and contact reports.
  • • Attend donor and community events to engage supporters and represent the organization.
  • • Contact donors, corporate representatives, and community leaders to deepen relationships and align giving interests.
  • • Create stewardship and recognition materials, including impact newsletters and event collateral.
  • • Promote and administer matching gifts and other corporate donor engagement programs.
  • • Develop stewardship plans that maximize retention and lifetime value while controlling costs.
  • • Collaborate on annual giving and targeted appeals to support donor renewals and upgrades.
  • • Design personalized engagement strategies to encourage renewed or increased contributions.
  • • Coordinate digital stewardship, including email acknowledgments, donor webpages, and social recognition.
  • • Coordinate and mentor stewardship volunteers or donor relations support staff.
  • • Set and track KPIs for stewardship, acknowledgment timeliness, retention, and upgrade rates.
  • • Ensure accurate tax receipting and compliance with gift agreements in partnership with finance and legal.
  • • Identify, qualify, and cultivate prospects in partnership with gift officers.
  • • Monitor donor relations budgets, invoices, and event expenses.
  • • Track retention, pledge fulfillment, and engagement metrics; report progress to leadership.
  • • Plan and execute donor stewardship events, tours, recognition society programs, and naming dedications.
  • • Recruit event hosts, speakers, and volunteers for donor engagement.
  • • Support gift officers by securing meeting commitments and managing pledge follow-up.
  • • Coordinate in-kind recognition items and benefits; assist with low-pressure solicitations as appropriate.
  • • Draft donor-centric communications, talking points, and impact stories for leaders and fundraisers.
  • • Prepare customized impact, fund, and endowment reports for donors and family representatives.
  • • Conduct donor and prospect research to inform cultivation and stewardship strategies.
  • • Coordinate delivery of stewardship packages, acknowledgments, and event materials.
  • • Maintain segmented lists for donor communications, recognition listings, and honor rolls.
  • • Prepare acknowledgment letters, pledge reminders, welcome packets, and recognition gifts.
  • • Secure organizational leaders, program staff, and beneficiaries as speakers for donor briefings.
  • • Send timely, personalized thank-you letters, emails, and receipts.
  • • Produce dashboards and presentations on retention, upgrades, and stewardship outcomes.
