Description
Handle daily mailroom operations for an organization, including receiving, sorting, and distributing mail and packages; preparing and shipping outgoing USPS and courier items; operating mailroom equipment and postage meters; maintaining logs and tracking; and ensuring compliance with carrier policies and security procedures.
- • Receive, sort, and distribute incoming mail and packages by department or mail stop.
- • Weigh letters and parcels, calculate postage or carrier charges, and meter or label shipments.
- • Prepare certified, insured, registered, and courier shipments and complete required forms.
- • Obtain recipient signatures for accountable deliveries and update tracking logs.
- • Inspect outgoing items for correct addressing, packaging, and postage/compliance.
- • Answer employee questions about mailroom services, shipping options, rates, and delivery times.
- • Process interoffice mail and maintain routing lists and schedules.
- • Forward or reroute mail based on employee moves, name changes, or department updates.
- • Ensure compliance with USPS, carrier, and hazmat regulations for shipments.
- • Operate postage meters, scanners, inserters, labelers, and mail-sorting equipment.
- • Feed mail through sealing or canceling devices and verify meter dates and values.
- • Hold undeliverable items in a secure area, notify recipients, and document releases.
- • Track incoming and outgoing shipments and reconcile daily activity reports.
- • Coordinate pickup and delivery with USPS and courier vendors.
- • Respond to delivery issues and initiate traces or claims with carriers.
- • Load, unload, and transport mail and packages within the facility using carts or dollies.
- • Maintain a clean, safe mailroom and follow security procedures for sensitive materials.
- • Monitor inventory and order postage, shipping supplies, and mailroom materials.
- • Assist with bulk mailings, including folding, inserting, labeling, and bundling.
- • Maintain mailroom documentation, SOPs, and contact lists.
