Description
Provide clerical and communication support to a hospital or clinical unit, coordinating patient flow, documentation, and daily operations. Duties include answering phones and call systems, processing admissions/transfers/discharges, maintaining charts and the EHR, scheduling services, ordering supplies, and supporting nursing and medical staff under established policies.
  • • Answer unit phones and call systems; screen, route, and document messages.
  • • Greet patients and visitors, provide information, and relay routine requests to staff.
  • • Process admissions, transfers, and discharges in the EHR; update bed and census information.
  • • Assemble, file, and scan patient charts and unit records per policy.
  • • Enter and verify patient demographics, orders, and notes in the EHR with high accuracy.
  • • Receive, sort, and route faxes, mail, and electronic messages; prepare outgoing documents.
  • • Retrieve information from charts and the EHR to respond to staff and patient inquiries.
  • • Schedule patient tests, procedures, consults, and transport; coordinate with ancillary departments.
  • • Prepare and distribute labels, wristbands, reports, and discharge or transfer packets.
  • • Process, copy, and distribute physician orders, consents, and other forms.
  • • Maintain unit logs, census reports, whiteboards, and tracking tools.
  • • Order and stock unit supplies and forms; track routine equipment requests.
  • • Operate and troubleshoot office equipment and EHR peripherals such as printers, scanners, and fax machines.
  • • Assist with bed management communications and patient flow coordination.
  • • Type and format routine correspondence, lists, and logs; proofread for accuracy.
  • • Coordinate pickups, deliveries, and courier requests within the facility as needed.
  • • Support daily huddles or meetings by preparing agendas and notes and relaying updates.
  • • Train and orient new unit clerks or volunteers on workflows and systems.
  • • Protect patient privacy and handle information in compliance with HIPAA and hospital policy.
  • • Provide shift handoffs and status updates to ensure continuity of unit operations.
