Description
Perform varied clerical and administrative duties in an insurance office, requiring knowledge of insurance procedures, policy and claims documentation, and office systems. Responsibilities include answering inquiries, processing applications, endorsements, renewals, and claims intake, maintaining records, billing and payment posting, correspondence, and use of insurance software and office equipment.
  • • Communicate with policyholders, agents, and carriers; answer questions and route calls.
  • • Process applications, endorsements, cancellations, and renewals.
  • • Verify coverage, eligibility, and rating data in carrier and agency systems.
  • • Collect, post, and reconcile premium payments; prepare deposits.
  • • Create and send invoices, statements, policy packets, ID cards, and certificates.
  • • Enter, compile, and proofread customer, policy, and claim data.
  • • Maintain digital and paper files; ensure accurate records and retention.
  • • Open, sort, and route mail; draft and send correspondence.
  • • Request and track required documents, such as loss runs, MVRs, and proofs of insurance.
  • • Assist with quotes and proposals using rating tools under agent direction.
  • • Schedule appointments, manage calendars, and arrange follow-ups.
  • • Run renewal, expiration, and accounts receivable reports; flag items needing action.
  • • Intake claims (first notice of loss) and update communications with adjusters and insureds.
  • • Issue certificates, binders, and ID cards as authorized.
  • • Research and resolve billing or policy discrepancies.
  • • Operate office machines and insurance software; troubleshoot basic issues.
  • • Inventory and order office and policy supplies.
  • • Train and guide junior clerical staff on procedures and systems.
  • • Prepare meeting agendas, take minutes, and distribute notes.
  • • Adhere to privacy, security, and regulatory requirements.
