Description
Process high volumes of physical and digital documents across their lifecycle. Duties include intake, preparation, scanning, data entry, indexing, formatting, quality control, routing, retrieval, and archiving in document management systems, following accuracy, security, and retention standards.
- • Intake, prepare, and batch physical and electronic documents for processing.
- • Verify document completeness, signatures, and required fields.
- • Open, prep, sort, and route incoming mail for imaging and workflow.
- • Operate high-speed scanners, multifunction devices, and imaging software.
- • Scan, index, and label documents using established naming conventions and metadata.
- • Enter, validate, and proofread data captured from documents.
- • Perform OCR, image enhancement, and quality checks for legibility and accuracy.
- • Format, merge, and edit documents using approved templates and style guides.
- • Convert files between formats (e.g., PDF, Word, TIFF) and apply redactions when needed.
- • Maintain and update digital repositories, indexes, and audit trails in a document management system.
- • Retrieve, compile, and deliver requested documents to authorized users.
- • Respond to document status inquiries via phone, email, or ticketing systems.
- • Prioritize and schedule work queues to meet turnaround times and SLAs.
- • Ensure compliance with privacy, security, and records retention policies.
- • Create, process, and submit business and government forms and reports.
- • Track and order imaging supplies and archival materials.
- • Troubleshoot scanner jams, imaging errors, and basic software issues; escalate complex problems.
- • Maintain production logs, error reports, and reconciliation records.
- • Train coworkers on document processing procedures, equipment, and software.
- • Collaborate with stakeholders to resolve exceptions and obtain missing information.
