Description
Coordinate and manage patient scheduling in a medical setting using knowledge of medical terminology and clinical workflows. Duties include scheduling and confirming visits, tests, and procedures; verifying eligibility and authorizations; providing instructions; updating records; and communicating changes to patients and staff.
- • Schedule and confirm patient appointments, consultations, surgeries, and diagnostic tests.
- • Review physician orders and referrals to schedule required services.
- • Manage provider calendars, templates, and appointment slots to optimize access.
- • Answer incoming calls and route complex clinical questions to appropriate staff.
- • Collect and verify patient demographics, insurance, and reason for visit during scheduling.
- • Verify insurance eligibility and obtain prior authorizations or referrals when required.
- • Send appointment confirmations, directions, and pre-visit instructions via phone, text, or email.
- • Document all scheduling actions and notes in the EHR and scheduling system.
- • Maintain waitlists and manage cancellations, reschedules, and no-shows.
- • Coordinate telehealth appointments and assist patients with basic access issues.
- • Route orders, messages, and required documents to appropriate clinicians for follow-up scheduling.
- • Prepare daily schedules and distribute updates to clinical and front-desk teams.
- • Ensure orders and documentation are complete before scheduling procedures.
- • Protect patient privacy and follow HIPAA and organizational policies.
- • Track scheduling metrics and report opportunities to reduce delays and open gaps.
