Description
Compile, compute, and record transportation rates and related charges. Prepare rate quotes and freight bills by applying tariffs, contracts, and regulations to shipment data and ensuring accurate, compliant charges.
  • • Verify accuracy of rate calculations and correct errors.
  • • Review bills of lading, purchase orders, and shipment specs (weight, dimensions, class) to compute charges.
  • • Prepare itemized rate quotations and freight bills showing base charges and accessorials.
  • • Maintain records of rates, quotes, tariffs, and supporting shipment documents.
  • • Use rating software, carrier portals, spreadsheets, and calculators to determine charges.
  • • Resolve rate discrepancies on customer or carrier invoices.
  • • Contact customers, carriers, or sales to obtain shipment details or relay rate information.
  • • Consult tariffs, rate books, carrier contracts, and government regulations to determine applicable charges, rules, and taxes.
  • • Compute shipment charges, discounts, fuel surcharges, and accessorial fees to complete billing documents.
  • • Update rate tables, manuals, and procedures when tariffs, rules, or contracts change.
  • • Reconcile carrier invoices with quoted or contracted rates and resolve variances.
  • • Upload shipment data and documents into rating or billing systems.
  • • Monitor rating systems and carrier portals for proper operation.
  • • Troubleshoot minor rating or system issues and escalate major problems to IT or vendors.
  • • Track cumulative charges and margins by client, lane, or project for reporting.
  • • Compile reports on transportation costs, accessorial trends, and profitability.
  • • Review cost and revenue data to support setting or negotiating customer rates.
  • • Answer inquiries regarding rates, routes, transit times, and rating procedures.
  • • Create credit memos or adjustments for rate errors and process refunds when applicable.
  • • Ensure shipments comply with tariff rules, classifications, and regulatory requirements.
  • • Verify shipment weights, dimensions, NMFC or commodity classifications, and zones to ensure correct rating.
  • • Distribute approved rate quotes and freight bills to customers and internal teams.
  • • Maintain data accuracy and confidentiality in all rate records.
  • • Perform general administrative tasks such as answering calls and scheduling pickups.
