Operate adding and calculating machines to compute, verify, and record numerical data for billing, accounting, and recordkeeping; generate tapes and summaries to support invoices, postings, and financial reports.
  • • Operate adding and calculating machines to compute totals, subtotals, balances, and extensions.
  • • Key numeric data quickly and accurately using 10-key by touch and produce printed tapes.
  • • Verify accuracy of figures and correct errors by re-running calculations and cross-checks.
  • • Review source documents, such as invoices, receipts, purchase orders, and time sheets, to compute charges, taxes, and discounts.
  • • Post machine totals to ledgers, journals, or spreadsheets.
  • • Prepare itemized totals to support invoices, statements, and credit memos.
  • • Compute and apply credit terms, discounts, shipping, and tax rates from reference tables.
  • • Reconcile batch tapes with ledgers, bank statements, or system totals and resolve discrepancies.
  • • Compare machine tapes to computer entries and adjust errors.
  • • Flag exceptions or missing information on documents for follow-up.
  • • Maintain organized files of tapes, batch reports, and supporting documents.
  • • Route completed batches and documents to billing or accounting for further processing.
  • • Monitor equipment operation and load paper, forms, and ribbons.
  • • Clear jams and perform minor maintenance; request service for major issues.
  • • Encode amounts or account numbers on checks or forms using encoding or imprinting devices.
  • • Consult manuals, rate books, and procedures to ensure correct calculations and compliance.
  • • Update quick-reference sheets when rates, rules, or procedures change.
  • • Compile daily production counts, batch totals, and summaries for reporting.
  • • Track hours and amounts per job or client to support billing.
  • • Assist coworkers by answering routine questions about calculations or machine procedures.
  • • Maintain adequate supplies of paper, ink, and ribbons.
  • • Protect sensitive financial information and follow internal controls.
