Billing and Posting Clerks
Description
Compile, compute, and record customer billing and receivables activity. Prepare and send invoices, apply payments, reconcile accounts, and support collections to ensure accurate AR records and timely cash flow.
  • • Generate and send customer invoices for goods and services.
  • • Verify billing data, pricing, taxes, and terms; correct errors.
  • • Post and apply cash, check, ACH, wire, and lockbox payments to accounts.
  • • Reconcile daily deposits and remittance advice with bank activity.
  • • Maintain the accounts receivable ledger and supporting documentation.
  • • Prepare and distribute monthly customer statements and dunning notices.
  • • Monitor aging reports and follow up on past-due accounts.
  • • Contact customers to resolve billing questions and collect payments.
  • • Investigate and resolve payment discrepancies, short-pays, and chargebacks.
  • • Process credit memos, adjustments, and write-offs per policy.
  • • Set up new customer accounts and verify billing and credit terms.
  • • Review sales orders, contracts, POs, and proof of delivery to validate charges.
  • • Compute discounts, freight, surcharges, and sales or use taxes on invoices.
  • • Coordinate with Sales, Customer Service, and Shipping to resolve invoicing issues.
  • • Prepare AR aging, cash forecast, and collections status reports for management.
  • • Support month-end close by reconciling the AR subledger to the general ledger.
  • • Ensure invoicing and collections comply with company policies and tax rules.
  • • Respond to inquiries about invoices, statements, and payment options.
  • • Record and track payment plans and promise-to-pay arrangements.
  • • Process refunds and returned checks; update accounts accordingly.
  • • Research and clear unapplied cash and exceptions.
  • • Assist with internal and external audits by providing AR schedules and documents.
  • • Use ERP and billing systems, spreadsheets, and reporting tools to enter and analyze data.
  • • Safeguard customer data and maintain organized digital and physical files.
