Description
Provide administrative support to the purchasing function by preparing purchase orders, maintaining records, coordinating vendors, and tracking orders for materials and services.
  • • Prepare purchase orders and distribute copies to suppliers and requesting departments.
  • • Monitor inventory levels and alert buyers; place replenishment orders under guidance when needed.
  • • Respond to internal and vendor inquiries about order status, changes, or cancellations.
  • • Assist with buying activities and small-dollar purchases per policy.
  • • Contact suppliers to schedule or expedite deliveries and resolve shortages or late shipments.
  • • Review requisitions for accuracy, coding, and specifications before processing.
  • • Prepare, maintain, and update purchasing files, reports, and price lists.
  • • Obtain quotes and compare prices, specifications, and delivery dates to recommend options to buyers.
  • • Track requisitions, contracts, and orders in purchasing systems and logs.
  • • Calculate order costs and route invoices for coding, approval, and payment.
  • • Verify receiving documents to ensure orders were filled correctly and meet specifications.
  • • Match supplier invoices with bids and purchase orders to verify accuracy and resolve discrepancies.
  • • Research and qualify suppliers using catalogs and online sources; gather product information.
  • • Follow organizational and governmental purchasing rules and communicate requirements to staff and vendors.
  • • Monitor in-house inventory movement and prepare transfer or adjustment forms for bookkeeping.
  • • Assist with preparing bid solicitations and distribute or post them as directed.
  • • Coordinate calendars, meetings, and communications for the purchasing team.
  • • Support onboarding and procedural training for new team members on purchasing processes.
  • • Prepare routine reports and dashboards on spend, delivery status, and supplier performance.
