Description
Compile and maintain purchasing records; prepare purchase orders for materials and services, coordinate with vendors, track deliveries, and support compliance with procurement policies.
  • • Prepare purchase orders and distribute copies to suppliers and requesting departments.
  • • Check inventory levels and initiate orders when stock is low.
  • • Respond to internal and supplier inquiries on order status, changes, or cancellations.
  • • Assist with buying activities when needed.
  • • Contact suppliers to schedule or expedite deliveries and resolve shortages or late shipments.
  • • Review requisitions for accuracy, terminology, and specifications.
  • • Prepare, maintain, and audit purchasing files, reports, and price lists.
  • • Compare prices, specifications, and delivery dates to recommend the best bid.
  • • Track the status of requisitions, contracts, and purchase orders.
  • • Calculate order costs and route invoices to appropriate accounts.
  • • Verify incoming shipments against purchase orders and specifications.
  • • Reconcile supplier invoices with bids and purchase orders for accuracy.
  • • Research and prequalify suppliers and gather product information.
  • • Maintain knowledge of organizational and regulatory purchasing rules and provide guidance to staff and vendors.
  • • Monitor internal inventory movement and complete transfer documentation.
  • • Assist in monitoring contractor performance and escalate issues as needed.
  • • Assist with preparing and distributing invitation-for-bid documents.
  • • Support onboarding and training of staff on purchasing procedures.
  • • Process and route bills for approval and payment.
