Description
Support procurement operations by preparing and tracking purchase orders, coordinating with suppliers and internal teams, maintaining records and price lists, assisting with sourcing and inventory checks, and processing invoices under supervision.
  • • Prepare purchase orders and route them to suppliers and requesting departments.
  • • Check inventory levels and initiate replenishment requests as needed.
  • • Respond to internal and supplier inquiries on order status, changes, or cancellations.
  • • Assist with spot buys and small purchases under supervision.
  • • Contact suppliers to schedule or expedite deliveries and resolve shortages or delays.
  • • Review requisitions for completeness, accuracy, and correct specifications.
  • • Maintain purchasing files, reports, catalogs, and price lists.
  • • Compile and compare quotes on price, specifications, and delivery dates.
  • • Track the status of requisitions, contracts, and purchase orders.
  • • Validate order costs and route invoices to the correct accounts for approval.
  • • Coordinate receipt verification and resolve shipment discrepancies with warehouses and vendors.
  • • Match supplier invoices to bids and purchase orders to verify accuracy.
  • • Research suppliers and gather product and pricing information.
  • • Follow procurement policies and applicable regulations and share guidance with stakeholders.
  • • Monitor inventory movements and complete transfer or adjustment forms.
  • • Track vendor and contractor performance metrics and escalate issues to buyers.
  • • Assist with RFQs and bid invitations and coordinate their distribution.
  • • Support end-user training on procurement procedures and systems.
  • • Process vendor invoices and support payment processing.
