Description
Create, maintain, and update indexes for paper and digital records to enable fast, accurate retrieval. Assign metadata, subject headings, and identifiers, and locate or deliver materials upon request.
- • Add new items to indexes and create new index records as needed.
- • Track checked-out or referenced items to ensure timely return and status updates.
- • Gather documents and digital files from departments for indexing.
- • Review materials to determine appropriate subject terms, keywords, or codes.
- • Classify and code entries by content, purpose, user criteria, or chronology.
- • Enter index terms, identifiers, and metadata into indexing databases.
- • Assign and record identification numbers, barcodes, or subject headings.
- • Build and maintain cross-references, aliases, and authority files.
- • Answer inquiries and assist users in locating items via the index.
- • Improve indexing schemas, taxonomies, or workflows and implement updates.
- • Audit index accuracy, completeness, and consistency; correct errors and fill gaps.
- • Remove or archive obsolete entries per retention and maintenance rules.
- • Retrieve records from physical files, digital repositories, or microfilm using index references.
- • Generate index reports, usage logs, and activity summaries.
- • Scan or digitize materials and link images or files to index entries.
- • Maintain security and confidentiality for restricted records.
- • Perform general office activities, such as typing, answering phones, processing mail, or operating office equipment.
- • Find, retrieve, and provide authorized copies of records in response to requests.
- • Input and reconcile basic billing, invoice, or receipt data related to indexing activities.
