Description
Organize, index, and maintain physical and electronic documents, including correspondence, invoices, and records, using established filing and document control systems. Retrieve, distribute, and secure documents on request.
  • • Add new documents to repositories and create records or folders as needed.
  • • Track checked-out documents to ensure timely return and proper chain of custody.
  • • Collect documents from departments or electronic queues for filing.
  • • Sort and classify documents by content, purpose, user access, or date/number order.
  • • Review incoming documents to determine indexing and storage location.
  • • File documents in cabinets or upload to the document management system per classification.
  • • Assign document numbers and metadata; apply barcodes or stamps for indexing.
  • • Answer inquiries and provide the status or location of documents.
  • • Maintain and help improve document control and filing procedures.
  • • Audit document repositories for correct placement, legibility, and condition.
  • • Archive or dispose of documents per retention schedules, policy, and legal requirements.
  • • Operate storage systems or compact shelving to access records.
  • • Create or update forms, labels, and templates for document capture and filing.
  • • Retrieve and prepare microfilm, microfiche, or scanned images for review.
  • • Enter document data and metadata in systems to support search and retrieval.
  • • Perform office tasks, including mail processing, scanning, copying, and securing confidential materials.
  • • Maintain logs of documents filed, accessed, transferred, or destroyed, and produce reports.
  • • Locate, copy, and deliver documents to authorized users promptly.
  • • Support document-related financial tasks, such as logging invoices or issuing receipt copies.
