Description
Process and maintain admissions records and documentation, organizing files according to established systems. Register applicants or patients, verify required information, and retrieve, update, and distribute records to authorized users on request.
  • • Create and update applicant or patient admission records as needed.
  • • Collect admission forms and supporting documents from applicants and departments.
  • • Review submissions for completeness and route them to the appropriate program, unit, or counselor.
  • • Sort and classify applications and documents by program or service, status, and date per guidelines.
  • • Assign admission IDs or case numbers and index records for retrieval.
  • • File physical records or prepare and scan documents for secure digital storage.
  • • Enter and update demographic, contact, and eligibility information in admissions systems.
  • • Verify required documentation, such as identification, prerequisites, insurance, or residency.
  • • Obtain required signatures on consent and privacy forms.
  • • Schedule intake appointments, interviews, or check-in times as directed.
  • • Respond to inquiries about application status or required documents, following privacy policies.
  • • Retrieve and provide copies of admissions documents to authorized staff or applicants.
  • • Track checked-out files and ensure their timely return; maintain custody logs.
  • • Audit admission files for accuracy, completeness, and correct placement.
  • • Archive or purge records per retention schedules and legal or privacy requirements.
  • • Recommend and help implement improvements to admissions recordkeeping and workflows.
  • • Operate electronic document management and record-retrieval systems.
  • • Generate routine admissions reports and metrics from logs or databases.
  • • Perform front-desk duties, such as answering phones, processing mail, and securing confidential materials.
  • • Collect application or admission fees, post payments, and issue receipts.
