Description
Lead enterprise-wide administration and internal operations, translating board and CEO directives into policies, systems, and services. Plan, direct, and coordinate shared-service functions and cross-functional initiatives to ensure compliance, operational excellence, and efficient use of resources with the support of subordinate executives and managers.
- • Direct or coordinate enterprise administrative, operational, and budget activities to support strategy and increase efficiency.
- • Partner with the CEO, board, and executive team to align priorities, resolve issues, and coordinate initiatives.
- • Analyze administrative and operational performance to identify cost reductions, process improvements, or policy changes.
- • Develop, implement, and enforce enterprise policies, procedures, and standards to ensure continuity and productivity.
- • Prepare, review, and present operating and administrative budgets for approval; monitor spending and variances.
- • Oversee shared-service departments such as HR, IT, legal, facilities, procurement, and compliance.
- • Negotiate or approve major vendor and service contracts, service-level agreements, and outsourcing arrangements.
- • Review management reports and dashboards; approve recommendations or require corrective actions.
- • Appoint or develop department heads and delegate responsibilities across administrative functions.
- • Oversee human resources plans, workforce planning, and organization design for administrative units.
- • Support board and committee governance; prepare materials and participate in audit, risk, or governance committees.
- • Prepare and present reports on operations, compliance, risk, and budgets to executives and the board.
- • Define departmental charters and coordinate workflows across sites and business units.
- • Implement corrective action plans to address operational, compliance, or service-delivery issues.
- • Establish and oversee internal controls, recordkeeping, and administrative systems such as ERP, HRIS, and contract management.
- • Direct corporate services including procurement, travel, and payroll administration coordination.
- • Represent the organization with key partners, regulators, and vendors on administrative and compliance matters.
- • Serve as liaison between corporate functions and business units to ensure service levels and accountability.
- • Interpret and communicate policies, regulations, and standards to leaders and staff.
- • Oversee enterprise risk management, business continuity, and crisis response planning.
- • Manage facilities, real estate, workplace safety, and environmental health and safety compliance.
- • Lead or sponsor operational studies, benchmarks, and research to inform improvements and investments.
- • Plan and lead cross-functional meetings and operating reviews; track action items to closure.
- • Organize internal communications and change management for new policies, systems, or organizational changes.
- • Conduct or oversee internal investigations of policy or ethics violations and manage remediation.
- • Ensure compliance with corporate bylaws, filings, and statutory requirements in partnership with legal.
- • Monitor legislation and regulatory changes; recommend policy updates to maintain compliance.
- • Oversee data governance and privacy practices in partnership with IT and security leaders.
- • Set service-level targets for shared services and manage performance against key performance indicators.
- • Champion a culture of efficiency, inclusion, and continuous improvement across administrative functions.
