Description
Perform clerical and customer service duties for a governmental licensing office. Process applications, verify eligibility and documents, issue licenses and permits, collect fees, maintain records and accounts, schedule required tests or inspections, answer official correspondence and public inquiries, and prepare notices and reports in accordance with laws and agency procedures.
  • • Evaluate license and permit applications for completeness and eligibility.
  • • Question applicants to obtain required information and enter data on prescribed forms.
  • • Verify authenticity of identification, residency, insurance, or business documents.
  • • Code and enter application data into licensing systems.
  • • Issue new, renewal, temporary, or replacement licenses and permits.
  • • Collect, receipt, and reconcile fees, fines, and taxes related to licensing.
  • • Record and maintain licensing records, fiscal accounts, and audit trails.
  • • Prepare and mail deficiency notices, approval letters, or denial determinations.
  • • Answer public inquiries about licensing requirements, procedures, timelines, and fees.
  • • Schedule and track inspections, tests, or appointments required for licensing.
  • • Administer or proctor written or online licensing examinations when required.
  • • Perform record checks on applicants or licensees for compliance or investigations.
  • • Coordinate with inspectors, enforcement, or legal staff on compliance actions.
  • • Prepare public notices of licensing hearings, renewals, or rule changes.
  • • Compile and distribute agendas or packets for licensing boards or hearings.
  • • Record and edit minutes for licensing board meetings, when assigned.
  • • Maintain office tracking systems for correspondence, deadlines, and follow-up.
  • • Scan, index, and archive applications and supporting documents.
  • • Respond to records requests in accordance with public records laws.
  • • Perform general office duties such as answering calls, filing, and scheduling.
  • • Train or assist in training new staff on licensing procedures and systems.
  • • Generate routine reports on application volumes, revenues, and processing times.
  • • Process amendments, transfers, suspensions, or revocations of licenses.
  • • Ensure adherence to statutes, regulations, and privacy requirements.
