Description
Perform clerical and technical duties to create, maintain, and disseminate criminal records for courts and law enforcement. Enter arrests, charges, and dispositions; process background checks, expungements, and court orders; validate and archive records; respond to authorized requests; collect fees; and ensure confidentiality and compliance with applicable laws and security policies.
  • • Review criminal record requests, expungement or sealing petitions, and supporting documents for completeness and eligibility.
  • • Verify authenticity of identification, court orders, and fingerprint cards before releasing records.
  • • Compile, edit, and certify criminal record summaries for courts, law enforcement, and authorized requestors.
  • • Interview requestors or defendants to obtain identifiers needed for accurate record matching.
  • • Notify relevant agencies of record updates, expungements, or corrections as required.
  • • Maintain arrest, charge, warrant, and disposition records and associated fee logs.
  • • Answer questions about criminal history requests, background check procedures, and dissemination rules.
  • • Prepare packets of charging documents, dispositions, or criminal history abstracts for prosecutors or investigators.
  • • Process and file court orders affecting criminal records, including expungement, sealing, and correction orders.
  • • Ensure records are archived, retained, or purged according to statutes, court rules, and security policies.
  • • Enter arrests, charges, dispositions, biometric data, and identifiers into RMS, JMS, or state criminal history systems.
  • • Record dispositions, sentencing information, and court orders in criminal history databases.
  • • Collect, receipt, and reconcile fees for background checks, copies, and certifications.
  • • Conduct criminal history and warrant checks for authorized agencies, employers, or licensing bodies.
  • • Prepare and transmit disposition reports or abstracts to state repositories and federal systems.
  • • Review legal documents for completeness and adherence to criminal procedure and sealing statutes.
  • • Perform general office duties, including data entry, proofreading, document imaging, and filing.
  • • Answer phones, schedule fingerprint appointments, and maintain office supplies and equipment.
  • • Respond to records inquiries from the public, attorneys, law enforcement, and government agencies in compliance with law.
  • • Research case files, microfilm, and electronic archives to reconcile missing or inconsistent information.
  • • Maintain tracking systems for records requests, subpoenas, expungements, and audit follow-ups.
  • • Provide information on case status, court dates, warrants, or fines when permitted by policy.
  • • Train staff on records procedures, data entry standards, and confidentiality requirements.
  • • Advise requestors on documentation and timelines for criminal history requests and expungement processes.
  • • Retrieve and analyze legacy records to build complete criminal histories upon request.
  • • Perform quality control, repository validations, and compliance self-audits of entries and files.
  • • Capture and process fingerprints via Livescan and manage submissions for background checks.
  • • Manage imaging, indexing, and secure storage of paper and electronic criminal records.
  • • Generate daily arrest logs, record activity reports, and monthly statistics for management.
  • • Coordinate with courts, prosecutors, public defenders, and law enforcement to resolve record discrepancies.
