Description
Perform clerical and administrative duties supporting court operations, including preparing dockets and calendars, processing and filing legal documents, maintaining case and financial records, issuing and recording court orders and notices, assisting judges, attorneys, and the public, and collecting and reconciling fines and fees.
  • • Review and accept court filings for completeness and compliance with rules.
  • • Verify identities and authenticity of documents submitted to the court.
  • • Record and certify minutes or summaries of court proceedings.
  • • Post and distribute court calendars, notices, and public announcements.
  • • Maintain court records, dockets, and fiscal accounts for fines and fees.
  • • Provide information to the public about court procedures, filings, and payment options.
  • • Prepare hearing packets and case files for judges and courtroom staff.
  • • Prepare, process, and issue court orders, judgments, probation orders, releases, warrants, summonses, and subpoenas.
  • • Enter case data, events, and codes into the court case management system.
  • • Record case dispositions, court orders, and payment arrangements.
  • • Assist with budget tracking, fee reconciliation, and expenditure review for the court office.
  • • Conduct case and record searches and produce certified copies as requested.
  • • Draft and finalize documents reflecting outcomes of court proceedings.
  • • Examine legal documents for adherence to statutes and court procedures.
  • • Perform general office duties, including typing, proofreading, filing, and scheduling.
  • • Answer phones, route inquiries, and maintain supplies and office equipment.
  • • Respond to information requests from litigants, attorneys, agencies, and other courts.
  • • Locate files and contact witnesses, attorneys, or parties to obtain required information.
  • • Maintain tracking systems for correspondence, ticklers, and follow-up actions.
  • • Answer inquiries on court dates, adjournments, warrants, subpoenas, witness fees, and fine payments.
  • • Train and coordinate the work of clerical staff as needed.
  • • Inform parties of scheduling requirements and timing of court appearances.
  • • Retrieve and research archived case records upon request.
  • • Collect, receipt, and account for filing fees, fines, and restitution payments.
  • • Prepare and manage daily dockets or calendars of cases to be called.
  • • Swear in witnesses and jurors and administer oaths, as authorized.
  • • Assist with jury management tasks, such as summons processing and attendance tracking.
  • • Ensure documents are properly recorded, indexed, archived, and purged per retention schedules.
  • • Coordinate with law enforcement on warrants, commitments, and releases.
  • • Collect required case information from filers or parties and enter it into prescribed forms.
