Draft and manage sales correspondence to address product inquiries, pricing, quotes, order status, returns, and service issues. Gather information from sales, inventory, and finance to craft accurate replies, prepare quotes and order documents, route requests, and ensure timely follow-up in the CRM.
  • • Prepare sales correspondence, including quotes, proposals, order confirmations, and pricing responses.
  • • Compile CRM/ERP data to prepare periodic sales and inquiry reports.
  • • Present clear explanations of pricing, terms, warranties, and return policies.
  • • Read incoming sales correspondence to identify customer needs and determine disposition.
  • • Send acknowledgment emails for inquiries, RFQs, and purchase orders.
  • • Review outgoing correspondence for accuracy, format, and required approvals.
  • • Maintain CRM records and files to track correspondence and order activity.
  • • Gather product specs, inventory, and shipping details; attach relevant materials to replies.
  • • Complete template responses for common product and pricing questions.
  • • Route technical, legal, or special pricing requests to the proper teams for reply.
  • • Compose replies about availability, lead times, order status, billing corrections, and service issues.
  • • Ensure customer payments, POs, and deposits are properly recorded and secured.
  • • Calculate quotes, discounts, taxes, and freight, and send payment instructions.
  • • Prepare and dispatch contracts, samples, or printed materials with tracking.
  • • Confer with sales, operations, and logistics on feasibility and timing of customer requests.
  • • Enter and process orders received via email or portals; coordinate fulfillment and updates.
  • • Compile customer requirements for custom products and coordinate with production.
