Description
Compose and manage written correspondence for claims, including damage or loss reports, coverage and billing inquiries, and service issues. Duties include gathering and verifying claim data, preparing accurate, compliant responses, routing items to appropriate staff, and maintaining complete claim correspondence records.
  • • Prepare claim correspondence, including acknowledgments, status updates, determinations, and requests for information.
  • • Compile claim correspondence data and prepare periodic activity reports.
  • • Provide clear explanations of claim procedures, coverage terms, and applicable regulations.
  • • Review incoming claim mail and emails to identify issues and determine disposition.
  • • Draft and send acknowledgment letters for new or updated claims.
  • • Check outgoing claim letters for accuracy, format, and required enclosures, and submit for approval.
  • • Maintain claim correspondence logs, files, and control records.
  • • Gather and verify claim documents and evidence, and attach to responses as needed.
  • • Complete approved form letters for status updates and documentation requests.
  • • Route complex or technical matters to adjusters, legal, SIU, billing, or customer service.
  • • Compose replies regarding damage or loss claims, coverage or billing questions, incorrect payments, or service concerns.
  • • Record and secure claim-related payments, reimbursements, or fees received with correspondence.
  • • Calculate fees for claim file copies or records and request payment when required.
  • • Prepare claim records for certified mail or secure electronic transmission.
  • • Consult with adjusters and supervisors on feasibility of requested claim actions and response content.
  • • Process authorized claim-related replacement, disbursement, or reimbursement paperwork as directed.
  • • Compile information needed for claim determinations, escalations, and customer notifications.
