Description
Draft and manage constituent correspondence on legislation, policy positions, casework, and federal services. Research issues, coordinate with staff and agencies, and produce accurate, compliant letters, emails, and reports for a Member’s office.
  • • Prepare constituent responses, casework updates, and official letters on behalf of the Member.
  • • Read and triage incoming mail, emails, and messages to determine issues, urgency, and routing.
  • • Research legislation, agency policies, and district impacts to inform replies.
  • • Present clear explanations of laws, programs, and the legislative process in plain language.
  • • Draft, edit, and proof correspondence; ensure accuracy, tone, and formatting meet office and chamber rules.
  • • Submit correspondence for approval and signature; manage e-signature and franking compliance.
  • • Maintain the constituent mail database; log contacts, track issues, and monitor deadlines.
  • • Create and update form letters and FAQs for recurring topics.
  • • Attach relevant background materials and case documents to outgoing correspondence.
  • • Route complex matters to legislative aides, caseworkers, or communications staff.
  • • Compile weekly and monthly mail metrics and sentiment reports for leadership.
  • • Coordinate with committee staff and agency liaisons to address constituent requests.
  • • Manage large mailings and mail merges; oversee print, frank, and USPS or electronic delivery.
  • • Ensure confidentiality and compliance with ethics rules, privacy laws, and records retention.
  • • Prepare briefings and talking points reflecting constituent concerns and trends.
  • • Support town halls and outreach by drafting follow-up communications and issue summaries.
