Description
Draft and send letters and electronic responses to prospective and current members regarding applications, renewals, benefits, billing questions, delinquent dues, account updates, and service issues. Duties include gathering member and policy data to craft accurate replies, processing membership changes and payments, and maintaining complete correspondence records.
- • Prepare member correspondence and documents, including applications, renewals, benefit summaries, billing inquiries, invoices, and service complaints.
- • Compile membership and correspondence data to prepare periodic reports.
- • Provide clear explanations of membership policies, eligibility rules, and program terms.
- • Review incoming member inquiries to determine concerns and proper disposition.
- • Send acknowledgment messages to applicants and members.
- • Proof and format correspondence, assemble required enclosures, and route for approval or signature as needed.
- • Maintain member records and correspondence logs in the CRM.
- • Gather and verify member account information and attach supporting documents to replies.
- • Complete and tailor form letters for common membership requests or issues.
- • Route inquiries to billing, IT, or program teams when specialized action is required.
- • Compose responses about applications, renewals, upgrades, delinquent dues, billing errors, benefit questions, cancellations, or service concerns.
- • Record and secure dues and other payments received via correspondence.
- • Calculate dues, prorations, and fees, and send payment requests or confirmations.
- • Prepare membership packets, ID cards, and notices for certified mail or secure delivery.
- • Consult with membership, finance, and program staff on feasibility of special requests or exceptions.
- • Process membership changes requested in correspondence, such as address updates, replacements, or add-on services.
- • Compile data needed to produce personalized member materials and welcome kits.
