Description
Coordinate real estate transactions from contract to close by managing timelines, documents, and communications among buyers, sellers, agents, lenders, and title/escrow. Review and track contracts, title and loan milestones, clear contingencies, and prepare files for compliant, on-time closings.
- • Create transaction checklists and document inventories for each file.
- • Open escrow and confirm property details, parties, deadlines, and required documents.
- • Review contracts, addenda, title commitments, HOA and lender requirements for accuracy and completeness.
- • Verify legal descriptions, parties, financing terms, and contingency dates across all documents.
- • Coordinate and schedule inspections, appraisals, surveys, repairs, and re-inspections.
- • Track title issues, liens, taxes, and HOA matters with title/escrow and escalate to agents or attorneys as needed.
- • Prepare and distribute timeline summaries and weekly status updates outlining outstanding items and next steps.
- • Collect signatures and initials via e-sign platforms; request corrections and missing forms.
- • Communicate with agents, clients, lenders, title/escrow, inspectors, appraisers, and attorneys to resolve issues.
- • Enter and maintain transaction data, notes, and documents in CRM, compliance, and escrow systems.
- • Request and disseminate surveys, plats, HOA docs, payoffs, wiring instructions, and insurance as required.
- • Review lender disclosures, closing disclosures, and settlement statements for accuracy and approvals.
- • Ensure earnest money, option fees, HOA transfer fees, and deposits are delivered, receipted, and documented.
- • Monitor contingency removals and loan, appraisal, and title milestones to keep files on schedule.
- • Prepare compliant closing packages and broker file submissions per state, MLS, and brokerage policies.
- • Archive closed files and report key metrics, post-closing tasks, and outstanding holdbacks or warranties.
