Description
Provide clerical support in title operations by collecting, verifying, and processing real estate documents. Perform basic title searches, maintain records, prepare files and commitment/policy packages, coordinate with clients and public offices, and route issues to examiners.
  • • Open title orders and enter property and party data into title software.
  • • Read search requests to determine required evidence and gather legal descriptions and names.
  • • Compile preliminary lists of deeds, mortgages, liens, and other instruments for examiner review.
  • • Obtain, copy, and index recorded documents that affect property titles.
  • • Verify legal descriptions, parcel numbers, and ownership against public records and title plants.
  • • Flag potential encumbrances such as delinquent taxes, judgments, or easements and escalate to an examiner.
  • • Prepare file notes, clearance checklists, and search summaries based on findings.
  • • Assemble and distribute title commitment and policy packages for approval and issuance.
  • • Calculate recording fees and transfer taxes and prepare payments or eRecording fee schedules.
  • • Pre-audit documents for recordability and prepare rejection notices or correction requests when needed.
  • • Submit deeds, mortgages, and related instruments for recording and track confirmations.
  • • Retrieve and review closing files to ensure documents are executed and ready for recording and policy production.
  • • Obtain plats, surveys, and assessor maps from county offices or company title plants.
  • • Communicate with lenders, realtors, buyers, sellers, and courthouse staff to collect payoffs, tax certificates, and HOA estoppel letters.
  • • Update status and notes, scan and index documents, and maintain accurate title records.
