Description
Process and record security ownership transfers. Validate documentation, compute and collect transfer taxes and fees, coordinate delivery and receipt of certificates or book-entry positions, update shareholder records, reconcile transactions, and maintain compliant, accurate daily transfer logs and reports.
  • • Correspond with customers, brokers, and issuers to answer transfer inquiries, resolve rejects, and explain requirements.
  • • Schedule and coordinate delivery and receipt of security certificates and DRS/DWAC transfers among departments, custodians, and transfer agents.
  • • Prepare and process transfer documents—stock powers, affidavits, medallion guarantees, and confirmations—based on shareholder requests.
  • • File, scan, and index transfer packets; operate standard office systems and imaging tools.
  • • Monitor queues of pending transfers, turnaround times, and exceptions; escalate to meet service levels and regulatory deadlines.
  • • Calculate and assess transfer taxes, fees, and withholding; allocate charges and credits to customer accounts.
  • • Update shareholder records to reflect re-registrations, restrictions, and dividend or disbursement instructions.
  • • Verify ownership, endorsements, legal capacity, and distribution instructions to ensure compliance with regulations and issuer policies.
  • • Document and reconcile cancellations, reissues, book-entry postings, and certificate numbers in transfer ledgers and systems.
  • • Perform clerical support, including answering phones, processing mail, and maintaining secure custody of certificates and documents.
