Description
Plan and execute events from concept through wrap-up, coordinating logistics, vendors, staff, budgets, and client expectations to deliver successful experiences.
- • Conduct site visits to evaluate and finalize layouts and logistics.
- • Meet with clients to define event goals, scope, audience, and requirements.
- • Develop event plans, agendas, timelines, budgets, and service packages.
- • Source, vet, and select vendors that meet event needs and quality standards.
- • Negotiate and manage contracts with venues, vendors, and talent.
- • Coordinate on-site details with venue staff and suppliers.
- • Arrange catering, decor, facilities, A/V, security, accessibility, lodging, transportation, signage, and printing.
- • Secure A/V, staging, rentals, transportation, and other resources.
- • Develop themes and programs and select speakers or entertainment.
- • Set up and manage attendee registration and ticketing.
- • Design event marketing plans, promotions, and sponsorship packages.
- • Collaborate with sponsors and stakeholders to define scope, set budgets, and track progress.
- • Oversee administrative tasks, budgeting, communications, and inquiry responses.
- • Maintain detailed event documentation, budgets, and reports.
- • Review and approve vendor invoices and event bills.
- • Secure permits, insurance, and approvals for venues, food service, and displays.
- • Monitor event execution to ensure compliance, guest satisfaction, and quick issue resolution.
- • Recruit, train, schedule, and supervise event staff and volunteers.
- • Conduct risk assessments and implement safety and contingency plans.
- • Lead post-event debriefs and surveys to capture insights and improvements.
- • Stay current on event trends, tools, and compliance standards.
