Description
Provide high-level administrative support to executives by managing calendars, communications, travel, and meeting logistics; prepare reports and presentations, conduct research, handle confidential information and information requests, and coordinate cross-functional priorities. May streamline office procedures and support or train other administrative staff.
  • • Manage and optimize executives' calendars and priorities.
  • • Coordinate and schedule meetings, appointments, and conference calls.
  • • Prepare agendas, briefings, and meeting materials.
  • • Record, compile, and distribute meeting minutes and action items.
  • • Draft and edit correspondence, memos, and communications.
  • • Prepare reports, presentations, spreadsheets, and dashboards.
  • • Handle incoming emails, calls, and mail; triage and route as needed.
  • • Greet and screen visitors and callers for executive access.
  • • Arrange domestic and international travel and itineraries.
  • • Process expense reports, invoices, and credit card reconciliations.
  • • Maintain filing systems and retrieve records and reports.
  • • Conduct research and compile data for executive decision-making.
  • • Coordinate cross-functional follow-ups and project timelines.
  • • Maintain confidentiality and manage sensitive information.
  • • Review and improve administrative processes and workflows.
  • • Coordinate catering, facilities, and technology for meetings and events.
  • • Manage office supplies and basic bookkeeping or purchasing tasks.
  • • Support budget tracking and departmental finances.
  • • Liaise with internal teams, clients, and external partners on behalf of executives.
  • • Train, onboard, or mentor administrative staff as needed.
  • • Interpret and communicate office policies and procedures.
  • • Assist with HR or payroll information processing as assigned.
