Description
Provide day-to-day administrative support to managers and teams by preparing documents and reports, handling correspondence and information requests, and maintaining calendars, records, and office systems. Coordinate meetings and travel, greet visitors, and respond to calls and emails. May assist with onboarding, basic bookkeeping, and routine reporting.
- • Manage and maintain calendars and schedules for managers and teams.
- • Prepare and edit invoices, reports, memos, letters, and other documents using office software.
- • Read and route incoming memos, submissions, and reports; prioritize and distribute as needed.
- • Open, sort, and distribute incoming mail, packages, faxes, and email.
- • File and retrieve documents, records, and reports; maintain organized digital and paper systems.
- • Greet visitors, answer inquiries, and direct them appropriately.
- • Draft and send responses to routine inquiries and correspondence.
- • Arrange travel and accommodations for staff and prepare itineraries.
- • Gather information, compile data, and create summaries or presentations.

- • Assist with onboarding by organizing training materials and guiding new staff on office procedures.
- • Help maintain and improve office procedures and workflows.
- • Interpret and communicate standard administrative policies and procedures to employees.
- • Answer and route phone calls; take and relay messages.
- • Perform general office duties, including ordering supplies, maintaining databases, and basic bookkeeping.
- • Prepare meeting agendas and coordinate catering, room setup, and equipment.
- • Coordinate office services such as records management, purchasing, and facilities requests.
- • Provide administrative support to other departments and project teams.
- • Assist with timekeeping, expense reports, and payroll data entry as directed.
- • Maintain confidentiality and handle sensitive information with discretion.
