Description
Set up and operate document imaging workflows to capture, convert, index, and validate records for secure storage, rapid retrieval, sharing, and compliant disposition within enterprise content and records systems.
- • Prepare documents for scanning by removing fasteners, repairing pages, and batching with separator sheets.
- • Operate, calibrate, and maintain scanners and other imaging devices.
- • Implement scanning and automated data capture using OCR/ICR, barcodes, and forms recognition.
- • Configure capture profiles, batch classes, and document separation rules.
- • Select appropriate resolution, color settings, compression, and file formats (e.g., PDF/A, TIFF).
- • Index and classify images with accurate metadata, keywords, and security levels.
- • Perform image enhancement, de-skewing, de-speckling, and redaction as required.
- • Conduct quality control to verify legibility, page order, and completeness.
- • Monitor throughput and error rates; analyze and report imaging performance data.
- • Troubleshoot imaging hardware, drivers, and capture software issues.
- • Write, review, and execute test plans for new scanners, drivers, and imaging workflows.
- • Develop, document, and maintain imaging standards, SOPs, and work instructions.
- • Train users and operators on imaging procedures, safety, and system usage.
- • Ensure chain of custody and secure handling of physical and electronic records.
- • Route captured documents to repositories/ECM systems and validate successful ingestion.
- • Retrieve and distribute imaged files to authorized users; track requests and returns.
- • Conduct needs assessments to identify imaging requirements, volumes, and SLAs.
- • Assist in evaluating, acquiring, and deploying imaging hardware and capture software.
- • Coordinate with records and compliance staff on retention, legal holds, and destruction.
- • Administer capture-side access rights, queues, and workflow routing to protect sensitive data.
- • Keep current on imaging technologies, OCR advances, and digitization standards.
- • Securely store, return, or arrange destruction of source documents per policy after imaging.
