Directly supervise and coordinate office and administrative support staff, managing daily workflows, service quality, schedules, and office services to ensure efficient, compliant operations.
  • • Resolve escalated customer or internal stakeholder questions and complaints about policies and procedures.
  • • Supervise office, administrative, and customer service staff for quality, accuracy, deadlines, and adherence to procedures; correct errors.
  • • Coach employees on handling complex tasks and escalations.
  • • Implement departmental policies, procedures, and service standards with management.
  • • Address performance issues with employees and create improvement plans.
  • • Train staff in job duties, systems, and company policies or arrange training.
  • • Evaluate performance and compliance; recommend promotions, discipline, or other actions.
  • • Review timesheets, productivity metrics, and service reports to verify details and monitor performance.
  • • Recruit, interview, and select office staff.

  • • Research, compile, and prepare management reports, SOPs, and required correspondence.
  • • Coordinate workflows and priorities with other supervisors and departments.
  • • Provide input to budgets; track expenses and help manage departmental spending.
  • • Develop and update office procedures, checklists, and quality standards.
  • • Recommend staffing, process, or technology changes to improve efficiency.
  • • Work with managers, IT, and vendors to resolve equipment, system, or scheduling issues.
  • • Assist with frontline tasks during peak periods or to resolve complex work.
  • • Design, deliver, or evaluate training, customer service initiatives, and performance metrics.
  • • Build schedules based on workload forecasts and budget constraints.
  • • Monitor office supply inventory and reorder or purchase as needed.
  • • Plan and coordinate office services, including equipment procurement, records organization, moves, parking, maintenance, and security access.
  • • Arrange maintenance or repairs for office space and equipment.
  • • Stay current on HR policies and applicable labor and privacy requirements impacting operations.
  • • Oversee mailroom activities, shipping and receiving, and courier logistics.
  • • Organize layouts for file rooms, supply closets, and shared storage to maximize access and safety.
